Board Roles and Descriptions

The 2012-2013 Upper Main Line YMCA Swim Team Parents Association board will be comprised of the following roles (each role has a voting right):

  • Executive Board (1 year term)

  • Age Group Representatives (1 year term)

  • Coordinators (1 year term)

Executive Board (1 year term)

The Executive Board is responsible for the overall coordination of all swim team related matters between the swim team families, director of competitive aquatics and the Branch executive management (i.e., Executive Director, Director of Finance, etc.). Members of this group are expected to actively participate within one or more of the activities described within the Coordinator descriptions. It is the intent of the board to fill the President role through the active Vice President. The Executive Board shall have the ability to go into Executive Session. The Executive Session shall be a closed meeting with only the elected officers participating.

Age Group Representatives (1 year term)

Individuals filling this role shall represent the needs of the parents and swimmers within each major age group. The representative for e ach respective age group shall not serve for more than one year as representative of that age group; however such representative can serve as representative of other age groups as their children advance through the years even in consecutive terms.

Coordinators (1 year term)

Individuals in this role are not expected to serve in all the various positions outlined in the attached descriptions. However, these individuals are responsible for the overall coordination and communication with the key positions and liaise with the board. Members of this group are expected to actively participate within one or more of the activities described within the Coordinator descriptions. Individuals may elect to serve up to two terms in the same coordinator role.

Volunteer Coordinator

The Volunteer Coordinator is responsible for overseeing the volunteers for the year-round swim program. This includes liaising with each of the team coordinators for Boys A, Boys B, Girls A, Girls B and Girls C winter teams; as well as the Meet Directors for special events and invitational meets (e.g., PA YMCA East District Championships, Mini Meet, East Fields Long Course Invitational). In addition, this person will work closely with the special events coordinator (e.g., transportation, end of season banquet, fundraising events). This person shall provide guidance and support to each of the coordinators and should be familiar with all the roles required to successfully run a meet. This person should also continuously seek opportunities for recruiting new volunteers. Officials Coordinator

Officials Coordinator

The Officials Coordinator is responsible for coordinating all of the Upper Main Line YMCA officials. In this role, the individual will ensure that all officials maintain their certification status for Level I and Level II officials and coordinate the various training dates required on an annual and triennial basis. This person should also continuously seek opportunities to recruit new officials. This person is also responsible for obtaining the requisite number of officials for all home and away dual meets, as well as coordinating with the team coordinators and Volunteers Coordinator for championship and invitational meets. A key role of this position is recruiting and filling all the officiating needs for PA YMCA East District Championships, Mini Meet and East Fields Long Course Invitational.

Communications Coordinator

The Communications Coordinator is responsible for coordinating all correspondence and public relations for all swim team families with the webmaster for the UMLY swim team website (swimumly.com) as well as updating the swim team record boards and bulletin boards in the hallway outside the B pool. There are three distinct bulletin boards covering (1) USA and Invitational meets, (2) Fundraising, and (3) swim team news (winter and summer teams). Throughout the season this individual will liaise with the swim team coordinators, coaches, meet directors and special events coordinators.

Technical and Equipment Coordinator

The Technical Coordinator is responsible for identifying and soliciting individuals to be trained on the timing equipment (console and meet manager). In addition, this role ensures the functioning of all the equipment required to run a dual meet (e.g., electronic starting system and console, touch pads, stop watches, etc.). This person also coordinates the volunteer and equipment requirements for special events and invitational meets (e.g. PA YMCA East District Championships, Mini Meet and East Fields Long Course Invitational).
